Don't Panic.  We want to keep in touch, but only if you want us to........

Data Protection rules are changing in May 2018.  This page tells you:
How we keep in touch with customers.
How we keep in touch with volunteers.
How we keep in touch with volunteers

Thank you for signing up as a volunteer and letting us stay in touch with you.  We very much value your support, hard work and the wonderful role many of you play as our ambassadors. You are on our Volunteers Database because you specifically requested to become a volunteer by either:
  • Signing up as a customer visiting our vineyard
  • Emailing us to request to join the list
  • Contacting us through our website or
  • Requesting to join via a friend who is already a volunteer.
We did receive contact details of a small number of volunteers when we bought Bothy Vineyard from Dorothy and Roger Fisher in 2002.

The data we hold on volunteers include names, addresses, email and phone contacts, and in some cases, dietary requirements.

As a volunteer with Bothy Vineyard, you will hear from us about the following:
  • News about Bothy Vineyard, either in the form of Mailchimp updates or emailed newsletters
  • Volunteer opportunities (work parties, sculpture exhibitions, etc) at Bothy Vineyard and Yew Tree Vineyard; we have a close working relationship with Ed Mitcham who owns the latter, and many of you recently joined him on his first harvest.

If you have given us your phone number, we might ring you when there are urgent tasks or last minute changes to work parties, e.g if we have to cancel due to poor weather.

Your privacy is key.  We will keep your details secure and promise never to:
  • Sell or swap your contact details with another business (including Yew Tree Vineyard*);
  • Give your contact details to another volunteer without your agreement.  We normally only share contact details when we are trying to arrange car-shares to our vineyard.
  • Expose your email in a group message – we will always use a blind copy, unless specifically allowed.
* Please note that if you get in touch with Yew Tree Vineyard as a result of one of our messages, you can then opt in to become part of their database.

Your contact details are kept on a private computer in our office, or on our mobile phones, or in Mailchimp.  This data cannot be seen or used by people outside our business.  We keep your information secure, accurate and up to date and we only keep it as long as is reasonable and necessary. Please do help us maintain the accuracy of this data by letting us know whenever you change your contact details.

You are in charge of how we communicate with you, and whether you need to reply. You need only volunteer when you wish.

You can always unsubscribe from any Mailchimp messages by clicking the unsubscribe link.  Alternatively you can contact us at 01865 390067 or email us at office@bothyvineyard.co.uk . If you have any queries, e.g. if you no longer wish to volunteer but would like to remain in contact as a customer, we will do everything we can to help.
How we keep in touch with customers

Thank you for signing up as a customer and letting us stay in touch with you. We very much appreciate your custom and support and would like to take the opportunity to keep you updated on our opening times, initiatives, wines that we have available, and other relevant Bothy stories.

Data protection laws change in May 2018, and we are writing to let you know how we keep in touch with customers.

  • Asking one of us directly

The data we hold on customers include names, addresses, email and phone contacts.
As a customer, you will hear from Bothy Vineyard either in the form of:
  • Mailchimp updates or emailed newsletters or
  • a printed newsletter in the mail if you have specifically requested it
  • an individual email message if you contact us with a query.

Your privacy is key.  We will keep your details secure and promise never to:
  • Sell or swap your contact details with another business;

Your contact details are kept on a private computer in our office, or on our mobile phones, or in Mailchimp.  This data cannot be seen or used by people outside our business.  We keep your information secure, accurate and up to date and we only keep it as long as you wish us to.
Please do help us maintain the accuracy of this data by letting us know whenever you change your contact details or if you wish to be removed from our customer list.
How many times will you hear from us?  We do not wish you to feel we are in any way pressuring you but only to contact you with items which may be of interest. As such we will be highly unlikely to contact you more than 6 times a year.
  • We will contact 2-3 times a year with our newsletter
  • 2-3 times with other specific news. e.g this message on data protection.

If you would like more regular updates we suggest you like our Blog on our Facebook page (www.facebook.com/bothyvineyard) or follow our tweets (@bothysian).
You are in charge of how we communicate with you, and whether you need to reply.
